FAQs and How-To Guides
Step-by-step guides for getting started and for every box on the Player and Club Dashboards, plus answers to common questions.
Getting started
From first visit to a finished profile, in five steps.
- Click Register and choose who you are joining as: Player, Coach, Club, Scout or Parent/Guardian.
- Enter your name, email and a password, then confirm your password (use the eye icon if you want to check what you typed).
- You are signed in straight away and taken to your profile form, already filled in with your name and email.
- Complete your profile — photo, details, experience and availability — and save. Everything except highlights and extra photos is required.
- You land on your Dashboard. From here every part of Sport Link is one click away.
How to: Inbox and messaging
Where messages come from, who you can contact, and how conversations work for each account type.
How messages arrive and how to start one
Messages and vacancy enquiries stay together in your Sport Link Inbox.
- A member starts a conversation using the message or enquiry option on an eligible profile or vacancy. You can use the same options to contact someone new; there is no new-message address book inside Inbox.
- The first message appears in the recipient's Inbox and the sender's Inbox. Replies remain in that conversation, rather than becoming separate enquiries.
- Open Inbox from your Dashboard. Conversations show the other person's or club's name, the subject, the latest message and unread counts.
- While Inbox is open it refreshes about every 30 seconds. Use the refresh icon to check immediately. Messages are delivered inside Sport Link; do not rely on email or phone push alerts.
- Your Inbox shows conversations for your selected profile. A club's committee access to its private tools does not give committee members access to the master account's recruitment Inbox.
Players: who can contact whom?
Adult players communicate with clubs, scouts and agents—not other players or coaches.
- You can receive approaches from clubs and eligible scouts or agents. Reply to those approaches in Inbox.
- To contact a club first, open its profile or a vacancy and send an enquiry. The club must accept two-way enquiries; you can contact an opted-in club even without an open vacancy.
- To contact a scout or agent first, open Find Scouts/Agents and use the available message option.
- If you are under 18, your linked guardian must send, receive and reply on your behalf. Your own player login cannot use Inbox.
Coaches: who can contact whom?
Coaches communicate with clubs, scouts and agents.
- You can receive messages from clubs and scouts or agents about coaching opportunities.
- Start an enquiry from an opted-in club profile or coach vacancy, or message a scout or agent from their profile.
- Continue the conversation in Inbox. Coach accounts do not start direct conversations with players or other coaches.
Clubs: who can contact whom?
Clubs approach players, coaches and scouts or agents; clubs cannot message other clubs.
- Open a player, coach or scout/agent profile and use its available message or enquiry option to start a conversation.
- Enable two-way enquiries in Club Profile to receive new approaches from players, coaches, scouts or agents—including enquiries when no vacancy is listed.
- If you choose club-initiated enquiries only, those members cannot start new enquiries to your club, but they can reply to conversations your club starts.
- Messages concerning an under-18 player go through their accepted linked guardian, not the junior's own Inbox.
- Reply from your club Inbox. You cannot contact another club or use this Inbox to send messages on behalf of a different profile.
Scouts and agents: who can contact whom?
Scouts and agents communicate with eligible players, coaches and opted-in clubs.
- Open a player or coach profile and use the available contact option to start a conversation. Players and coaches can also contact you first.
- You can send a new enquiry to a club that accepts two-way enquiries, or reply when a club contacts you first.
- You cannot contact a player before the calendar year of their eighteenth birthday. If an eligible player is still under 18, communication must go through their linked guardian.
- Follow the contact options shown for represented players. If their preferred contact is their agent, the profile may direct you to that agent instead.
- New enquiries to scouts or agents use the enquiry form on their profile when available; replies return to the same Inbox conversation.
Parents and guardians: messages for junior players
Use your separate linked account to act for the player.
- Accept the player's private guardian invitation with the matching email address. A guardian link must be accepted before you can conduct their conversations.
- Sign in to your guardian account to receive club approaches and send enquiries to opted-in clubs on the linked player's behalf.
- Scout or agent conversations are allowed only from the calendar year of the player's eighteenth birthday. Until their actual eighteenth birthday, you still handle those messages.
- Read and reply in your own Inbox. Do not sign in as the junior player to communicate, and do not share your guardian password.
Replying, Pending, Unread and Closed
You can send several messages in a row; Pending shows open conversations with messages.
- Open a conversation to read its history. Opening it marks its messages as read for your account.
- If the other participant sent the latest message and the conversation is open, type in Your reply and select Send reply. There are no Accept or Decline buttons.
- You can keep sending messages in an open conversation without waiting for the other person to reply.
- Use Unread for messages you have not opened. Pending includes open conversations waiting for either participant—not just conversations requiring your reply.
- Use Closed to find finished conversations. Closing is not deleting: the message history remains. Reopen conversation is available for conversations you have archived; some enquiry types use an enquiry-status selector instead.
- Search by name, club or subject. Where a player-saving option appears for an eligible account, it updates the same shortlist or contracted record in My Players; it does not verify a contract.
How to: Team Hub (club and team communication)
Step by step for parents, players, club admins, coaches and managers.
Coaches and managers: player development goals
See goals players chose to share with your team and encourage them.
- Open Team Hub and, under Teams you coach or manage, click Player development goals shared with you.
- You only see goals a player (or, for under-18s, their parent or guardian) chose to share with your team.
- Each goal shows its area, progress bar, checklist steps and progress notes. Photos and videos stay private to the player.
- Type a comment under a goal to leave encouragement or a tip. The player and their parent or guardian can read and reply.
- If the player leaves your team or stops sharing, the goal disappears from your list.
Team Hub: what it is and who sees what
Club and team communication — messages, training and games, who's coming, team chat and direct messages — in one place.
- Open Team Hub from the top menu or your Dashboard. One login covers every role you have: club admin, coach, manager, parent and player.
- Your roles are listed at the top: clubs you run, teams you coach or manage, and the players you look after.
- Only people approved into a team see its messages. Club admins approve coaches and managers; coaches, managers or admins approve players.
- Players under 18 never receive team messages directly — every message for them goes to their linked parents or guardians.
- Team Hub never gives scouts, agents or other clubs a way to contact a junior player. Recruitment contact still follows the under-18 rules in your Inbox.
Parents: set up your family (children don't need an email)
Add each child once, then join their teams.
- Create a Parent / Guardian account with your own email (or sign in if you already have one).
- Open Team Hub → My family → Add a child.
- Enter your child's name and date of birth, your relationship and your date of birth, then confirm you are their parent or legal guardian.
- Repeat for each child. Your child never needs their own email or login.
- Your child gets no public profile: they don't appear in Browse Players or search, and other clubs, scouts and agents can't see them. Only their team's coaches, managers and club admins (and the parents you invite) see their name.
- Already linked to a junior player's Sport Link profile? They appear in My family automatically.
Parents: join your child's team
Use the team code or link from your club.
- Open the join link your club sent, or enter the team code in Team Hub and click Join a team.
- Choose “My child” and pick the child (or add them on the spot).
- Click Ask to join. The team's coach, manager or a club admin approves the request.
- Once approved, the team appears under Players you look after and its messages arrive in Team Hub.
Parents: invite the other parent
Both parents (or carers) can receive team messages for the same child.
- Open Team Hub → My family and find your child.
- Click Invite another parent. Copy the private link or open the email draft.
- The other parent opens the link, signs in or creates their own Parent / Guardian account, and confirms they are responsible for the child.
- The link works once and expires after 14 days. Sport Link doesn't send the email for you yet — it opens in your own email app.
Parents and players: read messages, reply and say who's coming
Messages, changes and availability requests from your coaches and club.
- New messages have a “New” badge. Changed messages (for example a new kick-off time) show “Updated” and count as new again.
- For training, games and events with a question, tap Coming, Not coming or Maybe for each child (or for yourself).
- Today & tomorrow at the top of Team Hub shows what's on and the answer you gave.
- Click Replies to answer a message. Your reply goes to the coaches, managers and club admins. Use Direct messages for anything private.
- Use Team chat for general team conversation that everyone in the team can read.
Players aged 18 and over
Adult players receive team messages themselves.
- Open Team Hub → My family → Add myself as a player (18+), or choose “Me, as a player” on a join link.
- Ask to join with your team code and wait for approval.
- Answer Coming, Not coming or Maybe, reply to messages and use team chat or direct messages with your coaches.
- If your parent set you up as a child, they can click “Give … their own login” once you turn 18, so messages come to your own account.
Players under 18
Your parent or guardian handles team messages for you.
- Team messages for under-18 players go to your parent or guardian's account, not yours.
- Ask your parent or guardian to add you in their Team Hub under My family and join your team with the club's code.
- When you turn 18, your parent can hand over your own login.
Club admins: create teams and share join codes
Set up the season's teams; each gets a private join code.
- Prefer a guided walkthrough? Open Team Hub → Clubs you run → Step-by-step setup guide. It covers creating teams, inviting coaches, managers, players and parents (with ready-made invitation messages), approvals, messages and who sees what, and ticks off each step as you go.
- From your Club Dashboard open Team Hub, then click your club under Clubs you run (or “manage teams”).
- Click Add a team. Enter the team name, season, age group/grade, gender and optional division.
- Each team gets a private join code. Click Copy join link and send it to that team's families, players, coaches and managers.
- Click New code if a code has been shared too widely — the old code stops working. Archive teams at the end of the season.
Club admins: roll teams over to a new season
Age teams move up together, e.g. Under 7 Blue (2027) becomes Under 8 Blue (2028).
- Open your club's Teams & club messages page in Team Hub.
- To move every team at once, click “Roll [season] teams over to [next season]”. Each team's age goes up by one and its approved players, coaches and managers move across.
- To roll over one team, click “Roll over to next season” on that team. Check the new name, season and age group, and untick “Keep the same coaches and managers” if the staff are changing.
- Each new team gets a new join code. Last season's team is archived, and its messages, chat and availability stay with it.
- Requests still waiting for approval stay with the old team. Ask those families to join the new team with its new code.
Club admins: move a player to a different team
For example, moving a player from Under 8 Blue to Under 8 Red.
- Open the team the player is in now and go to Members.
- Next to the player, choose the new team from “Move to team…” and confirm.
- The player leaves the old team and joins the new one straight away. Their parents (or the adult player) see the new team's messages from then on.
- Only club admins can move players. Coaches and managers can still approve or remove players in their own team.
Club admins: approve players, parents, coaches and managers
Nobody sees a team until they're approved.
- Open the team and go to Members. Requests waiting for approval are listed with a badge.
- Check each coach's and manager's Working With Children Check number and expiry before clicking Approve. Sport Link records it but can't verify it for you.
- Approve or Decline player requests. For under-18 players you'll see which parents will receive messages.
- Use Remove to take someone out of a team. Removed coaches lose access immediately.
Club admins: message one team, several teams or the whole club
Club-wide announcements, changes and events.
- Open your club's Teams & club messages page and scroll to Send a message.
- Pick a quick option (kick-off time change, training venue change, training cancelled, who's coming) or write your own.
- Tick the teams to send to, or tick All teams (whole club).
- For training, games and events, set the date, time and location, and tick “Ask who is coming” if you need answers.
- Click Send. Open “Seen by” on any message to check who has seen it.
Club admins: let club management personnel manage teams
Share the admin work without sharing your login.
- As the master club account, open the Club Document Centre's access settings and invite the person (or edit their access).
- Under Team communication, give Edit access to “Teams, join approvals and club-wide messages”.
- They will then see your club under Clubs you run in their own Team Hub.
Coaches and managers: join your team
Get approved by your club to run team communication.
- Sign in and open the team join link from your club, or enter the code in Team Hub. Scout and agent accounts can't be team coaches or managers — use a separate coach account.
- Choose “Me, as a coach” or “Me, as a team manager”.
- Enter your date of birth and Working With Children Check number and expiry, then click Ask to join.
- A club admin approves you. The team then appears under Teams you coach or manage.
Coaches and managers: send changes and ask who's coming
Kick-off time changes, venue changes and training or game-day invitations.
- Open your team → Messages → Send a message.
- Use a quick option such as “Kick-off time change” or “Who's coming to training?”, or choose the type yourself.
- Send to the Whole team or to Selected players only (for example the players picked for Sunday).
- To change something you've already sent, click the pencil on the message. Everyone sees it again marked “Updated”.
Coaches and managers: who's coming to training? who's playing today?
Live availability lists for every session and game.
- Open your team → Training & games to see upcoming sessions and games, soonest first. Today & tomorrow also appears at the top of Team Hub.
- Click “Seen by & availability” on a session to see Coming, Maybe, Not coming and No reply yet, with counts.
- If a family tells you in person, record their answer from the drop-down next to the player.
- Use the No reply yet list to follow up — for example with a message to Selected players.
Coaches and managers: team chat and direct messages
Group conversation and private conversations with a family.
- Team chat is visible to everyone in the team: staff, club admins, adult players and the parents of junior players.
- Direct messages are private between you and one player's family (or the adult player). Nobody else can read them — not even club admins.
- In Direct messages choose the player and click Open conversation. For under-18 players, the conversation is with their parents — never the child.
How to: Player Dashboard
Each box on the Player Dashboard, step by step.
My Development: set and track goals
Private physical, mental, technical and tactical goals with progress tracking.
- Open My Development from your Dashboard (the Development goals box) and click Add goal.
- Choose an area — Physical, Mental, Technical or Tactical — then pick a ready-made idea or write your own.
- Add why it matters, how you'll measure it and a target date, then choose how to track it: a number target, a checklist, a 1–10 self-rating, calendar sessions or a Game by Game statistic.
- Click Update progress whenever you train or test. Add a note and, if you like, a photo or video — these stay private.
- For session goals, choose the goal under “Counts towards a development goal” when adding a calendar event, then mark it Attended.
- Your Dashboard shows your top three goals, your weekly streak and any goal that hasn't been updated for two weeks.
- At the end of the season, open Season review to see goals set and achieved, and carry unfinished goals into next season.
My Development: achieved goals, sharing and privacy
Celebrate achievements on your profile, CV and social media — only when you choose.
- Open the goal and click Mark as achieved. Add the date and a short reflection.
- Click Add to my profile to show it under Development achievements on your profile and in My Sporting Journey, or Add to my journey (private) to keep it to yourself.
- Click Make a social image to open a ready-made Goal achieved post in the Player Social Media Studio.
- Goals on your profile or journey appear in the Development goals achieved section of your Sporting CV (you can switch the section off).
- To share a goal with your coach, edit it and choose your Team Hub team. Coaches see progress notes (not photos or videos) and can leave comments.
- Stopped goals stay private and never appear on your profile.
- Under-18 players: a linked parent or guardian can manage goals, decides whether a goal is shared with a coach, and approves achievements before they appear on the profile.
My Profile
Your public profile — how clubs, scouts and agents see you.
- Open My Player Profile from your Dashboard to see your profile as others see it.
- Click Edit to change your details, photo, positions, playing history, achievements and availability.
- Fill in every field — all are required except your highlights video and extra photos.
- Click Save. You are returned to your Dashboard with the changes live on your profile.
Inbox (messages and enquiries)
Every conversation with clubs, scouts and agents in one place.
- Open Inbox from your Dashboard.
- Use the filters — including Pending — or the search box to find a conversation.
- Open a conversation, read the thread and type your reply.
- Send it. If you have just replied, the other side replies before you can send again.
Browse Player Vacancies
Open positions listed by clubs across the country.
- Open Browse Player Vacancies from your Dashboard.
- Combine the filters — age, location, grade and more — to narrow the list.
- Open a vacancy to read the full details.
- Send an enquiry to the club; it lands in their Inbox and they reply from there.
- Check back later — vacancies close 30 days after listing, so a listing you see is live.
Browse Rugby League Clubs
Every club, including those with no vacancy right now.
- Open Browse Rugby League Clubs from your Dashboard.
- Filter by location or competition to find clubs near you.
- Open a club to see its details, and its public page if it has one.
- Don't wait for a vacancy — clubs that accept messages show a Message button you can use at any time.
Find Scouts/Agents
Scouts and accredited agents, with their photos and details.
- Open Find Scouts/Agents from your Dashboard.
- Browse the list and open a profile that interests you.
- Send a message to start the conversation (adult players only — juniors go through a parent/guardian).
My Sporting Journey
One timeline for your seasons, clubs, honours, milestones and statistics.
- Open My Sporting Journey from your Dashboard and click Add to my journey.
- Choose what to add: a season, team or honour; a game (2027 onwards); or season statistics (up to 2026).
- Everything is grouped by year, most recent first. Under each year use Add activity, Add statistics or Add a game.
- Games fill in your club, competition, grade and position from that year's journey entry, so you don't type them twice.
- Journey entries stay private unless you tick Show on my public player profile; statistics you enter appear on your profile.
- After saving a 2027+ game, use Share game to create a Facebook/Instagram image with your stats.
My Sporting Calendar
Your personal planner for training, matches, trials, representative commitments, conditioning, recovery and development. It doesn't replace your club's official draw or registration system.
- Open My Sporting Calendar from your Dashboard (the Upcoming Sporting Commitments box shows your next five events).
- Click Add event and fill in the name, type, date and any times, location, club, description and private notes. Leave times blank for an all-day event.
- Choose optional reminders — 24 hours before, 2 hours before or a custom time. They show on your Dashboard and calendar, and go with the event when you add it to your phone calendar.
- Switch between Month, Week, Agenda and Past events. Colours show matches, training, trials and personal development at a glance.
- After an event, confirm you attended or mark it as missed. You can also mark an event cancelled.
- For a match you've already saved in My Sporting Journey, link the game instead of entering it again — or use Record this game's statistics from the event after the match.
- To use another calendar, open an event and choose Apple / phone (.ics), Google Calendar or Outlook, or tick several events in Agenda or Past events and download them together. You don't need to connect another calendar to use Sport Link.
Player Social Media Studio
Player-focused graphics and videos for your own Instagram, Facebook and TikTok.
- From My Profile, open Player Social Media Studio and set up your brand colours and fonts once.
- Pick a player template — introduction, match performance, season so far, milestones and more.
- In step 2, add up to six photos and videos. Each photo can keep its background or have it removed (good for player cut-outs).
- With more than one photo, choose an arrangement (side by side, stacked, feature + strip, grid or line-up), tap Arrange with AI to let AI pick the layout, order and framing, or choose Manual and drag and resize each photo in the preview.
- Add a video (MP4, MOV or WebM up to 200 MB) from your media library or phone, choose the start and end (up to 60 seconds), turn sound on or off and tap Play preview. The video is resized automatically to fit every post size.
- Switch between post sizes; the design and video adapt automatically.
- Download the image, or the MP4 for video posts, and share it from your phone.
Sporting CV
A professional sporting résumé built from your profile, statistics and My Sporting Journey — for clubs, scholarships, academies, coaches, scouts and agents.
- From your Player Dashboard (or My Profile) open Sporting CV.
- Design: pick a template (Professional, Clean & simple, or Talent identification), a colour theme and one of your profile photos — or no photo.
- Sections & privacy: tick the sections to include. Date of birth, age, contact details and agent are hidden unless you tick them. Choose which journey entries and seasons appear.
- Edit wording: change your name, headline, summary, achievements or playing history for the CV only — your Sport Link profile isn't changed. Leave a box untouched and it keeps updating from your profile.
- Extra information: add coaching, refereeing and first aid qualifications, certificates, leadership and video links. References: add coaches or officials and tick that they've agreed.
- Watch the preview on the right, then click Save CV and Download PDF. Long CVs flow onto extra pages automatically.
- Share & versions: create a public link (anyone with it can view and download your saved CV), make a new link to stop the old one working, or save a fixed version for each application.
- Under 18? Your CV never shows your date of birth, age, contact details or town, and only your linked parent or guardian can turn on the public link.
Player Highlights Studio
Turn several videos into one highlights package.
- Open Player Highlights Studio from your Dashboard and upload one or more videos (up to 500 MB each).
- Trim each clip down to its best moments.
- Arrange the trimmed clips in the order you want them to play.
- Create the package, then download it or set it as the highlights video on your profile.
Junior players and guardians
How under-18 communication works.
- Sign in and open your Dashboard — you will see a notice that communication goes through your parent or guardian.
- If no guardian is linked yet, copy the private link shown on the Dashboard.
- Send that link to your parent or guardian (the Dashboard can draft the email for you).
- They sign up with the link as a Parent/Guardian and handle all messages on your behalf from then on.
How to: Club Dashboard
Each box on the Club Dashboard, step by step.

- Open Club Profile from your Dashboard.
- Keep your logo, location, competitions and contacts up to date.

- Use the Club board tab to post an update, question or reminder that everyone with club access can read, and reply under any post.
- Use the Direct messages tab for a private one-to-one conversation: choose a person, open the conversation and write your message.
- Only the two people in a direct conversation can read it — not even other club management personnel.
- The board and conversations refresh automatically while the page is open. If someone's club access is removed, they can no longer read or send messages.

An optional club website on Sport Link.
- Open Public Club Page from your Dashboard.
- Build the sections you want: history, teams, coaches, sponsors, news, registration links, calendar and photos.
- Choose whether to publish your contact name, email and phone number — nothing contact-related shows unless you opt in.
- Preview the page, then publish. Unpublish any time; nothing is public until you say so.
Social Media Studio
Branded graphics for Instagram, Facebook and TikTok.
- Set up your brand kit once: primary and alternate logos, sponsor logos, colours and preferred fonts.
- Pick a post type — match result, signing, next match, sponsor shoutout, milestone, event, weather or freehand.
- Choose a layout and platform size, add photos and text, and see the graphic update as you type.
- Or open the AI post maker and type a command such as “announce new signing of Frank Smith”.
- Download the finished graphic — posts with a video download as an MP4 (recorded in real time, so keep the tab open) — and post it to your own accounts.
Sponsorship Management
Sponsors, assets, sales, fulfilment and reporting.
- Add potential sponsors in the Prospects tab.
- Add what you sell in the Assets tab: price, available quantity, overview and each benefit line.
- Create and download a branded proposal from an asset.
- Record the sale — choose an existing prospect or a new sponsor, enter value, quantity and dates. The prospect moves to Sponsors.
- Track delivery of each benefit in Fulfilment, record money in Payments and watch expiry dates in Renewals.
- Download sponsor reports any time from Reports.
Club Document Centre
Your club's secure filing cabinet, with history and calendar.
- Open Club Document Centre from your Dashboard.
- Upload files or links into a category and folder, with an optional expiry date for reminders.
- Invite club management personnel with view or edit access to the areas you choose — they see only what you authorise.
- Replace a file to create a new version; old versions are kept and audit records never change.
- Open Events and Fundraising to add the year's events and tasks to your calendar, and share it on your public page if you want.
- Record life members, premierships and awards in the Club History tab.
Club management handover (when office holders change)
Hand the club over to new office holders inside Sport Link — no records are downloaded.
- As the master club account, open Club Document Centre and choose Club management handover.
- Enter the handover date and tick anyone leaving — their access to the club ends as soon as you save.
- Add each incoming person's name, email and position, and choose Edit everything, View everything or Choose areas.
- Click Save handover and update access, then copy each private invitation link or open the email draft and send it.
- Each new person signs in with that email, accepts, and gets a welcome tour of what the club has in Sport Link and what they can do with their access.
- Check Handover history to see who has accepted and who has finished their welcome tour. Use Preview the welcome tour to see what they see.
Grants and Funding Centre (Australian clubs)
Grants matched to your club, with application help.
- Open Grants and Funding Centre from your Dashboard.
- Review the grants matched to your state, sport and project cost, and save the ones that interest you.
- Start an application to see exactly how that program takes applications — online, by document or by contact.
- Use “Read this program's guidelines with AI” to get its purpose, eligibility and required sections.
- Draft each section with AI, edit it yourself, and copy your answers into the program's official application.
- Record your submission reference so you can track it later.
General questions
Is Sport Link free?
Yes. It is free for anyone to create an account — players, coaches, clubs, scouts, agents and parents/guardians.
I forgot my password. What do I do?
On the sign-in page click “Forgot your password?” and follow the emailed link to set a new one.
How are under-18 players protected?
A linked parent or guardian handles all communication for junior players, and scouts and agents cannot contact a player until the calendar year they turn 18. The Parents & Guardians page explains it all.
If I add my child in Team Hub, can clubs, scouts or agents see them?
No. Adding a child in Team Hub creates no public profile — they don't appear in Browse Players, on public pages or in search. Only you, any other parent you invite, and the coaches, managers and club admins of the team you join can see your child's name. Other families in the team can't see them, and scout and agent accounts can never be team coaches or managers.
Who can see my contact details?
Your email and phone number are never shown on your public profile. Other members contact you through the Sport Link Inbox.
Can only one person send messages?
No — once a conversation has started, both people can send as many messages as they like without waiting for a reply.
What are the availability options?
Players and coaches choose when they are available in their profile: Now (2027 season), 2028, 2029 or after 2029.
